How to use header and footer in MS Word

Headers and footers in Microsoft Word are sections at the top and bottom of each page in a document that allow you to add consistent information such as page numbers, document titles, dates, and other relevant details. Here's how to use headers and footers in MS Word:

Adding Headers and Footers:

  1. Open your document in Microsoft Word.

  2. Go to the "Insert" tab in the Ribbon.

  3. In the "Header & Footer" group, you'll find buttons for adding headers and footers. Click on either "Header" or "Footer," depending on where you want to add the content.

  4. A dropdown menu will appear with various pre-designed header and footer styles. You can choose one of these styles, or you can select "Edit Header" or "Edit Footer" to create a custom header or footer.

  5. The page layout will change, and you'll enter the header or footer section. The main document area will be grayed out, indicating that you are now editing the header or footer.

  6. In the header or footer section, you can type or insert the content you want to appear on every page. This could include page numbers, the document title, author's name, company logo, etc.

  7. To exit the header or footer section and return to the main document area, you can double-click on the main document or click the "Close Header and Footer" button that appears on the Design tab under the "Header & Footer Tools."

Formatting Headers and Footers:

Once you're in the header or footer section, you can format the content just like you would in the main document area. This includes adjusting font styles, sizes, colors, alignment, and inserting various elements like images, shapes, and page numbers.

Different First Page Header/Footer:

If you want to have a different header or footer on the first page (often used for titles or cover pages), follow these steps:

  1. After opening the header or footer section, go to the "Design" tab under "Header & Footer Tools."

  2. Check the "Different First Page" option. This will allow you to create a separate header and footer for the first page.

Different Odd & Even Pages Header/Footer:

If you want to have alternating headers or footers for odd and even pages (useful for books or documents with facing pages), follow these steps:

  1. After opening the header or footer section, go to the "Design" tab under "Header & Footer Tools."

  2. Check the "Different Odd & Even Pages" option. This will enable you to create different headers and footers for odd-numbered and even-numbered pages.

Closing Header and Footer:

To exit the header or footer editing mode and return to the main document area, you can either double-click on the main document or click the "Close Header and Footer" button on the Design tab under "Header & Footer Tools."

Headers and footers are useful for adding consistent and informative content to your documents, ensuring that key details appear on each page.
